Administrative Assistant to Pastor and Congregation – Job Description

Introduction:
Good Shepherd seeks an Administrative Assistant to serve with us in carrying out our mission and ministry opportunities for people of all ages. An important part of our mission is to reach out to those beyond our membership and share the Good News with them. We take advantage of new technologies to aid us in accomplishing our mission and expanding our ministry.
Report To:
This position reports directly to and is supervised by the Pastor. An annual performance review will be conducted by the Pastor. The pastor will then provide a report to the Executive Committee and the Congregation Council.
Position Summary:
The administrative assistant serves the Pastor and Good Shepherd Lutheran Church as the primary contact person among congregational members, community members, business affiliates, and all others. The administrative assistant will contribute to a positive working atmosphere in a team-based setting that supports the congregation’s mission. The Administrative Assistant will be dealing with private affairs and must maintain confidentiality at all times. The Administrative Assistant will also be abreast of and implement technological changes in the church office and assist the pastor with these technologies.

- Ability to maintain confidentiality
- Knowledge of all aspects of Google+
Preferred Skills:
- Familiarity with Sundays and Seasons software
- Familiarity with church management software
Primary Responsibilities:
The primary responsibility is to efficiently and confidentially oversee and manage the office at Good Shepherd Lutheran Church. Items below are designed to give an overview of the tasks to be performed. Items may be added or changed based on the needs of the pastor and the congregation.
Daily:
- Assist the Pastor with administrative tasks as needed including scheduling appointments, making arrangements and preparing for events
- Assist leaders of the congregation with administrative tasks as needed including making copies, making arrangements and preparing for events
- Keep an accurate written and web based calendar of all activities relating to church life and facilities use
- Handle incoming telephone calls promptly and courteously
- Greet people as they enter the church office and monitor who is in the building
- Serve as the general information center for the entire church
- Coordinate groups wanting to use the church facilities and send letters advising of costs and building use policy
- Update and help to grow the social media presence for Good Shepherd Church
Weekly:
- Create worship service bulletins and make sufficient number of copies
- Assist the pastor in preparing materials for worship
- Update church Stewardship records, both on computer and on church register
- Collect, record and collate information gathered from the fellowship pads and share data with Pastor and committees
Monthly:
- Prepare monthly parish Statistical Report for council
- Prepare monthly newsletter, mail out
Annually:
- Prepare Annual Congregation Meeting booklet.
- Compile, type, print, and mail special publications as required (e.g. Advent Booklets, special congregation mailings, congregation directories, budget forecasting numbers for the budget committee, etc.)
As Needed Basis:
- Order office supplies such as forms, letterheads, envelopes, etc. (must stay within office supply budget)
- Prepare any funeral, wedding, or other special purpose bulletins as needed.
- In consultation with the pastor, maintain and update parish records: births, deaths, address changes, baptisms, confirmation, marriages, funerals, etc.
- Update church directory online when needed
- Provide instructions and training for office volunteers as needed.
Hours of Service:
This is a part-time position, approximately 20 hours per week
Compensation & Benefits:
Compensation for this position will be commensurate with education and experience.
Other:
